Privacy Policy
Applies to the Equitas Team mobile application (Android and iOS) and to the Equitas online workspace.

2. What Equitas Team is
Equitas Team is an internal working tool for the staff and volunteers of a network of European non-profit organisations that support victims of racism and religious discrimination. It is not a consumer product. Accounts are created by each organisation for its own team: there is no sign-up inside the application, and no content is publicly accessible.
3. Data we process
- Professional identity — name, email address, job title, telephone number and profile picture. This is your member record.
- Content you create — messages, comments, tasks, documents, attachments (images, videos, voice messages) and case notes.
- Notification identifier — a technical token issued by Apple or Google, together with the device name and model, used solely to deliver notifications to your device. It cannot be used to track you outside the application.
- Technical logs — sign-in timestamps and error reports, for security and diagnostics.
Case files handled through the application may contain information about the ethnic origin or religious beliefs of the people our organisations assist. This is special-category data under Article 9 of the GDPR, and it is processed for the substantial public interest of providing legal assistance to victims of discrimination.
Permissions the app requests, and why
- Camera and microphone — team video calls and voice messages.
- Photo library — attaching an image or a video to a message or a case file.
- Notifications — alerting you to a new case or a new message.
Each permission is requested at the moment the feature is used, and may be declined. The application remains usable without it.
What we do not do
- We collect no location data.
- We display no advertising and embed no advertising trackers.
- We perform no tracking as defined by Apple’s App Tracking Transparency: your data is never combined with data from other companies’ apps or websites.
- We never sell or rent personal data, and we share none of it with third parties for their own purposes.
4. Where your data is stored
Data is hosted on Google Cloud / Firebase in the eur3 European multi-region. Google acts as a processor on our behalf.
Equitas operates as separate installations: each partner organisation holds its own database and remains its sole owner. When you choose an installation on opening the application, your data is written to that organisation’s database, not to a shared one.
5. How long we keep it
Account data is kept for as long as the account is active. Case files and the exchanges attached to them are kept in line with the record-keeping obligations that apply to legal assistance, and are then deleted or anonymised.
6. Your rights
Under the GDPR you have the right to access, rectify, erase, restrict and port your data, and to object to its processing. You may exercise these rights at any time by writing to contact@equitas.site. You also have the right to lodge a complaint with the Belgian Data Protection Authority.

7. Security
All traffic is encrypted in transit (HTTPS/TLS). Access to data is enforced by server-side security rules that verify, on every read and every write, that the account is active and authorised. Administrators can deactivate any account immediately, which revokes access on the next request.
8. Children
Equitas Team is a workplace tool intended for adults acting on behalf of an organisation. It is not directed at children, and we do not knowingly collect data from them.
9. Changes to this policy
Any change to the data we process will be reflected on this page and in the privacy declarations we file with Apple and Google. The date below indicates the latest revision.
